Patient Services

Patient self-pay receivables as a percent of gross revenue are increasing year over year. There seems to be a direct correlation between the rise of self-pay accounts receivable and the rise in Consumer Directed Health Plans (CDHPs). You want to ensure that the outstanding funds owed by patients are collected. At the same time, you want to preserve your relationship and reputation with patients. The ability to improve collections and patient goodwill can only be accomplished by an expert who understands that a consistent process must be coupled with a patient advocate approach. Dominion Medical Management develops a customized collection program for each Client paired with a time-tested, technology-driven process that yields maximum results.

We also assist our Clients with their patient marketing and public relations programs. Our automated outbound calling system can be utilized for appointment reminders and other proactive patient communications. In addition, promotional fliers and other printed messages can be distributed through our statement mailing capabilities.
 

Customized Services

The process for patient follow-up is based on rules established during Client startup and the patient's insurance class. During this process, we establish rules in conjunction with the Client on how to handle small balances, bad debt, transfers to collections, etc. 
 
Each Client has a unique toll-free phone number which allows our staff to reference the Client’s name when receiving patient calls. Representatives have direct access to all information in a patient’s account, including claim status information and copies of physician encounter documentation. Our customizable patient statements indicate which forms of payment are accepted by the Client, including various credit card options.
 

State-of-the-Art Communications

Dominion Medical uses a state-of-the-art telephony system which generates automated outbound calls to patients having a pre-defined balance due. Patients receive a polite, clear, HIPAA-compliant, message advising them of the caller and purpose for the call, and the action(s) necessary to fulfill their obligations. The system provides multiple options for contacting Dominion Medical with the information required, and provides higher collection rates than either mail or traditional follow-up calling combined.
 
Live calls are handled by our bilingual patient representatives. Calls are initiated to patients with accounts having significant outstanding balances using a VoIP (voice over internet protocol) phone system to better monitor and track incoming call volume. All incoming Patient Services calls are recorded and retained for a period of six months.
